Job Purpose:
The Manager of Artist Care and Contracts supports the planning and implementation of the Pittsburgh Symphony’s orchestra programming while ensuring that all orchestra programming is produced to the highest level of excellence in line with the artistic goals of the PSO. The scope includes classical programs plus popular programs, which consist of non-classical original programming, packaged performances/touring companies, films-in-concert, and special events.

The Manager of Artist Care and Contracts interfaces with artist agents and managers and oversees the needs of Classical and Popular guest artists and guest conductors before, during, and following their visits, providing them with the highest standard of care.

Across all responsibilities, the Manager of Artist Care and Contracts will work in close collaboration with Artistic Planning, Orchestra Operations (including the Music Library & Orchestra Personnel), Learning & Engagement (L&E), Marketing, Hall Management, Finance, and Technology departments.

Essential Duties and Responsibilities:
Artist Care
  • Cover Artistic Duty for Classical and Popular concerts and events as assigned.
  • Manage schedules, travel and hotel accommodations, ground transportation, and care for artists as assigned.
  • Create, maintain, and disseminate guest artist itineraries.
  • Manage stage reservations, rehearsal, and dressing room space for Classical and Popular artists.
  • Act as first point of contact for visiting artists during their engagements.
  • Provide on-demand hospitality during rehearsals and concerts to guest artists and be sympathetic and attentive to their individual needs.
  • In coordination with Artistic Planning team, communicate backstage hospitality needs to ensure a smooth transition between productions.
  • Facilitate the preparation of artist visa applications as needed.
  • Manage organization-wide communication of artists and conductor activities.
  • Participate in, and contribute to, artistic, production, and inter-departmental meetings as required.
Contracts and Financials
  • Create, administer, and process contracts for guest artists, guest conductors, special projects, and events as is required.
  • Share artist’s riders with all relevant departments and stakeholders (Operations, Library, Personnel, Marketing, Hall Management, Finance, etc.) to ensure their fulfillment.
  • Assist in the tracking of artist budgets and monitor spending against forecasts and budgets for Popular Programming using Financial Edge software.
  • Review and ensure fulfillment of contractual obligations to guest artists and productions, including processing payments and reimbursements.
Marketing and Communications Support
  • Collaborate with the Marketing and Communications Department to acquire or generate artist content for web and social media.
  • In collaboration with the Artistic Planning team, participate in proofreading process of monthly program book copy and other publications as it relates to Popular Programming.
  • In collaboration with the Director of Communications, help facilitate requests for interviews/appearances of guest artists arrange for logistical support for these events.
Required Education, Experience and Abilities:
  • Bachelor’s Degree in related field.
  • At least two years of experience in performing arts operations or programming, or equivalent combination of education and/or training and experience.
  • Familiarity with orchestral music, including ability to understand instrumentation and arrangements.
  • Ability to work flexible hours, particularly weekends and evenings.
  • Highly self-motivated and able to prioritize multiple projects with a high level of energy.
  • Ability to work independently but also as a member of a team.
  • Ability to meet deadlines and perform well under pressure.
  • Proficiency in MS Word, Excel, PowerPoint, and desktop publishing.
  • Excellent written and verbal communication skills, including clear and concise writing skills and attention to detail.
Preferred Education, Experience and Abilities:
  • Knowledge of orchestral repertoire.
  • Strong background in instrumental music.
  • Proficiency in OPAS database, Financial Edge, and Tessitura is a plus.
Physical Requirements:
  • Ability to work on a computer for extended periods of time.
  • Ability to operate related equipment, i.e., computer, copier, scanner.
Compensation and Location:
This is a full-time position with an annual salary range between $47,000 - $53,000 depending upon experience. We also offer a comprehensive benefits package which includes paid holidays, paid time off, employer paid health benefits, as well as retirement savings options with an employer match. Heinz Hall in downtown Pittsburgh is the work location for this position. The PSO supports a flexible, hybrid work environment, which currently includes three days per week in-person work, including work on weekends and evenings during PSO and Heinz Hall concerts or events.
